JOB SUMMARY:

The Accounts Clerk / Optical Assistant will perform various cashier-related and accounting functions to support the retail store’s daily operations. The designate will also contribute to an exceptional retail experience, selecting the right products for our customers’ eyewear and eyecare needs and providing any after-care services. Previous experience in the optical/retail industry will be considered an asset.

DUTIES AND REPSONSIBILITIES:

  • Promote Value Optical Limited consistently as the premier choice for eye examinations; spectacles, contact lenses fittings and all other optical needs.
  • Acts promptly in greeting all customers; asks appropriate questions to ascertain customer needs and acts in accordance with the Company’s policy to ensure that all customer needs are met.
  • Assists customers with the selection of frames by offering commentary on styles and colours, coordinating frames with facial and eye measurements and optical prescriptions.
  • Utilizes creative sales techniques to sell the Company’s offering of lenses, frames, spectacles, contact lenses and related accessories based on identified customer needs.
  • Educates customers on eyeglasses and contact lenses use and care.
  • Accurately records and submits work orders, reports and any other retail documentation as required.
  • Assist with requisition of goods for sale, stationery, and sundry items from Administrative Office to be completed by the given date once per month.

QUALIFICATIONS:

JOB SUMMARY:

Assist the Company in achieving its goals and objectives by dispensing eyeglasses and contact lenses to patients based on their Optical needs. This technical professional would ensure that the optical products dispensed meet the Company’s quality and standards, providing premium customer service and ensuring patient satisfaction.

DUTIES AND RESPONSIBILITIES:

  • Evaluate prescription in conjunction with patients’ occupational and recreational visual requirements; make recommendations to patients on lens design, lens features, and frame fit to suit the patients’ needs.
  • Take optical measurements of patients’ pupillary distance, vertex distance, segment heights and optical centres.
  • Determine patient’s previous prescription (neutralizing) using lensometer and patient’s eyeglasses.
  • Review work order for the optical lab, ensuring that it contains accurate and specific instructions for grinding and mounting prescription lenses into frames.
  • Responsible for verification and authorization of all daily branch work orders prior to dispatch to the lab; double-checking all information including prescription, measurements, job status and delivery date to ensure accuracy.
  • Verify the tolerance of the finished lens to specifications on delivery from the lab; inspect the lens and frame to ensure a quality finished product.
  • Conducts daily follow up with the lab, communicating delays to the customer in a timely manner
  • Heats, shapes, or bends plastic or metal frames to adjust eyeglasses to fit patients face form, competently using optical tools or hands. This includes performing repairs at branches, including re-inserting lenses, replacing screws, and re-alignment.
  • Dispense eyeglasses to patients, instructing patients in adapting to wearing and caring for eyeglasses.
  • Ability to troubleshoot by identifying the root cause of the patients’ visual problem and offer a resolution.
  • Competently conduct contact lens tutorials with first-time customers and complete the requisite ordering of contact lenses

QUALIFICATIONS & WORK EXPERIENCE:

  • American Board of Opticianry Certification OR other Optical Certification including registration with the TTORC.
  • Diploma in Supervisory Management OR Associate Degree in Business Management.
  • 3 – 5 years practical experience dispensing eyeglasses and contact lenses.
  • Must be a holder of a valid driver’s license with own vehicle

The Branch Administrator is required to independently manage the optical branch operations and its staff. The successful candidate will exercise sound judgement to maintain operational efficiency and patient service excellence through the management of people.

Duties and Responsibilities:

Job Purpose

The Senior Optical / Dispensing Assistant is an integral member of the Customer Service and Retail team, responsible for fostering an exceptional retail experience for our customers throughout their journey with us – from a warm welcome, through to help with selecting the right products for their eyewear and eye care needs as well as after-care services.

The incumbent will also have a rewarding opportunity to assist the Company in realizing its financial goals by professionally promoting eye examinations; spectacles, contact lens and related accessories in a manner that instils confidence in our customers and maintains the company standard of customer service excellence. He/She will also provide relief duties in the absence of the Branch Administrator.

Duties and responsibilities

· Promotes Value Optical Limited consistently as the premier choice for eye examinations; spectacles, contact lenses fittings and all other optical needs
· Acts promptly in greeting all customers; asks appropriate questions to ascertain customer needs and acts in accordance with the Company’s policy to ensure that all customer needs are met

· Responds and records all incoming customer concerns escalating in a timely manner to the Branch Administrator with detailed troubleshooting/recommendations to enable timely resolution.
· Accurately records and submits work orders, reports and any other retail documentation as required.
· Performs basic to advanced repairs or adjustments to spectacles for existing and customers as needed
· Ensures that retail display racks are always properly and adequately stocked with frames
· Maintains the cleanliness of all equipment and repair lab area daily.
· Participates in all training and educational activities necessary to fulfill at least the minimum requirements as specified within your departmental goals. This is in addition to the completion of any activities necessary for the maintenance of professional affiliations or organizational requirements.

Relief Management Duties

· To act as a relief officer in the absence of the Branch Administrator and assist (as needed) with day-to-day operations of the assigned branch and other locations if needed within the East -West corridor.

Key Performance Indicators

· Maintain a customer service rating of 85%
· Maintain a NPS score of 80%
· Maintain a 24hr – 48hr TAT (Turn Around Time) on Customer concerns that are escalated for approval with recommendations to the branch administrator.
· Ensure that a monthly target of 20% of AR (Anti-reflective) coatings are sold via customer interaction/ advisory of additions for all dispensed jobs.
· Ensure that a monthly target of 10% of Ultimate lenses are sold via customer interaction/ advisory of additions for all dispensed jobs.
· Ensure that a monthly target of 20% of Transitions lenses are sold via customer interaction / advisory of additions.

Qualifications

· Completed or currently pursing OCPP or ABO certification
· Formal supervisory would be an asset
· 5 CXC Ordinary Level subjects, including Mathematics and English Language. Grades 3 and up will be preferable.
· 3 to 5 years’ experience as an Optical Assistant

JOB SUMMARY:

The Administrative Manager is responsible for the general management and strategic direction of the patient service team in the branch. The incumbent will be the administrative lead in all management aspects of the branch operations. He/She will use strategic planning, forecasting and execute processes and procedures with sound judgement and expertise, and charismatic approaches to motivate the team towards operational efficiency and patient service excellence. Responsibility includes matters relating to Administration, Human Resource, Marketing and Accounting with full reporting to the Retail Operations Manager.

JOB DUTIES AND RESPONSIBILITIES:

ADMINISTRATION:

  1. Supervise and maintain store administration, i.e., inventory, equipment, and staff as a cohesive unit to maintain patient satisfaction.
  2. Prepare weekly staff roster to ensure the store is staffed to facilitate timely opening and closing of the store.
  3. Monitor patient bookings and patient flow to ensure delivery of service to grow customer base, which would assist in the generation of promotional ideas for the effective marketing of the store.
  4. Ensure that the store is properly secured daily at close of business and the assigned security system is activated.
  5. Ensure that all safety procedures / processes are practiced and adhered to (e.g., cabinets with frames are always locked, Accounts Clerk (cashier) office door is always locked, etc.).
  6. Ensure proper housekeeping and cleanliness of store and address all maintenance and equipment concerns on a timely basis.
  7. Collaborate with the Optician in making decisions of a technical nature to aid in the timely resolution of patient concerns/ complaints.
  8. Arrange monthly staff meetings to address areas of departmental / staff concerns and updates, with the accompanying documentation i.e., agenda and meeting minutes.
  9. Attend monthly Managers/Team Leaders meetings.
  10. Timely/orderly maintenance of files and records of all reports i.e., minutes, memos, correspondence, and any other documents for audit.

HUMAN RESOURCE

  1. Implement team building and motivational initiatives (with the guidance of Retail Management) through coaching and effective management of staff to deliver quality eye care products and services that would sustain an exceptional customer experience.
  2. Recommend timely training requests via performance improvement plans (PIP) or performance appraisal to Retail Management.
  3. Conduct performance appraisals for team on a bi-annual basis, ensuring timely submissions within set deadlines.
  4. Ensure any disciplinary matters are promptly addressed, documented, and forwarded to Retail Management on a timely basis.
  5. Consult with the Human Resource Officer to ensure that all disciplinary matters are handled in accordance with our company’s policy and procedures and in keeping with Industrial Relations (IR) practices.
  6. Review and verify for submission, daily time reporting sheets and to the attention of Human Resource Department within two (2) days.
  7. Leave of Absence forms e.g., casual and vacation leave requests must be completed, approved, and submitted to Human Resources Department no later than the 15th day of the previous month. Leave of Absence Forms due to illness are to be submitted on the day staff returns to work, with medical attached as required.

ACCOUNTING

  1. Verify accuracy of cash with Accounts Clerk (cashier) on opening of safe / deposits prepared for pick up by courier and cash locked up on evenings. Liaise with the Accountant at Head Office on any accounting matter that needs to be addressed.
  2. Ensure that all items leaving the store have the required invoice even if product is a no charge item in keeping with company procedures.
  3. All staff and/or immediate dependents purchases are billed at Head Office.
  4. Works with Retail Management to ensure the monthly achievement of assigned branch targets.

SUNDRY

  1. Provide information and assist with queries in a courteous, professional, and efficient manner.
  2. Prepare reports as requested by Retail Management.
  3. Assist the Accounting Department with inventory count at stores on a quarterly basis.
  4. Perform any other duties associated with the unit which may or may not be related to the above functions as directed by the Retail Operations Manager.

MINIMUM JOB REQUIREMENTS:

  1. Bachelor’s Degree in Management Studies or related field.
  2. At least Five (5) Years’ experience in customer service at a managerial level
  3. Must be MS Office Proficient

Academic Qualifications:

BSc Marketing Special -UWI  Or  BSc Information Technology specialized with E-Commerce -UWI
